No-code automation

Automate the routine. Operators do the work that needs them.

Statura’s workflow builder turns repeated decisions into rules. Open shifts go out to qualified responders in seconds. SIRS escalations route to the right person at the right time. Compliance reminders fire before deadlines — automatically.

The Problem

Manual routing is a compliance tax.

Three patterns waste the most operator time across Australian aged care providers — and they’re exactly the patterns a no-code workflow engine handles best.

Repeated decisions cost real hours.

A coordinator filling an unfilled shift makes the same 8 decisions every time. Multiply that by thirty shifts a week. The hours don't show up on a roster — they show up as burnout.

Compliance routing is fragile.

A SIRS Priority 1 notification has to reach the DON and the Quality Officer within minutes of detection. Email and group chats aren't reliable enough when a 24-hour clock has started.

Code-level automation isn't an option.

Aged care operations teams don't have engineers on staff. The automation tool has to work for the team you have — not the team you'd hire if budget weren't a constraint.

What You Can Build

Three patterns, hundreds of hours back.

BROADCAST AND BID

Open shifts go out to qualified responders in seconds.

When a shift goes unfilled, Statura sends SMS and push notifications to qualified, available staff in your configured priority order — never breaching award rules or hour caps. The first qualified responder wins the shift. The coordinator gets a confirmation, or an escalation if the window closes unfilled.

  • Filters by qualification, award hours, leave, facility, distance
  • Configurable response window before escalation kicks in
  • Auto-falls-back to agency partner integrations if no internal staff respond
See rostering software
EXAMPLE WORKFLOW
Shift unfilled 2h before start
Filter qualified, available staff
SMS + push to top 8 candidates
First responder wins · notify coordinator

SIRS ROUTING

Priority 1 incidents reach the right people in minutes.

The moment a Priority 1 incident is reported, Statura notifies the DON and the Quality Officer simultaneously and starts the 24-hour ACQSC notification clock. Priority 2 incidents land on a 30-day investigation timer. No one routes anything manually — the rules do it.

  • Priority 1 → 24h ACQSC notification deadline tracked from detection
  • Priority 2 → 30-day investigation timer with assigned owner
  • Every routing action written to the audit log against the incident record

EXAMPLE WORKFLOW

DEADLINE REMINDERS

Surface compliance deadlines before they slip.

Restrictive practice authorisations expiring. Responsible person reviews due. Worker screening renewals. Audit cycles. Statura surfaces these ahead of the deadline with an action link — not a 'you missed it' email after the fact.

  • Configurable lead-time windows per obligation type
  • Escalates if no action taken before the deadline
  • Closes the loop automatically when the obligation is satisfied
See quality standards software
EXAMPLE WORKFLOW
Authorisation expires in 21 days
Surface to Quality Officer
Escalate if no action in 7 days
Close loop on renewal

Pre-Built Templates

Ship-ready workflows from day one.

Every Statura tenant gets a library of workflow templates aligned to the Aged Care Act 2024 and the Aged Care Rules 2025. Clone, tweak, and publish.

Broadcast and bid for open shifts

Send unfilled shifts to qualified responders, accept the first response, notify the coordinator.

SIRS Priority 1 routing

Notify DON + Quality Officer instantly. Start the 24-hour ACQSC clock. Log every action.

Care plan review due

When a care plan crosses its review date, assign it to the relevant Coordinator with deadline tracking.

Restrictive practice expiring

21 days before an authorisation expires, surface to the Quality Officer with the renewal pack.

Award penalty exception

When a roster decision would trigger a penalty rate, surface the exception to Finance with the cost delta.

Family message escalation

When a family message goes unread by the assigned coordinator beyond SLA, escalate to the DON.

Built for Regulated Operations

Automation that a regulator can trust.

Statura’s workflow engine is purpose-built for the compliance load of Australian aged care. Three things are always true.

Award compliance built in

Workflows that touch rostering enforce hour caps, qualification matching, and SCHADS award rules by default. The automation cannot make a decision that breaches the award.

Every run is audited

Every workflow run, trigger, branch, and action lands in the tenant audit log against the relevant record. Investigators see exactly what happened, when, and why.

Stays inside Statura

Notifications are sent via Statura's SMS, push, and in-app channels. Resident and staff PII never leaves the platform to land in third-party automation tools.

Workflow automation is included on every Professional tier and above.

Residential: Professional, Professional + Clinical, and Enterprise. Home care: Home Care Professional and Home Care Complete.

FAQs

Workflow automation, answered.

Does this require engineering to set up?

No. The workflow builder is fully no-code. Operations and compliance teams build, test, and publish workflows themselves. A library of pre-built templates covers the most common patterns — broadcast-and-bid, SIRS routing, deadline reminders, escalation policies. Templates can be cloned and modified without touching code.

What's the difference between a template and a custom workflow?

Templates are pre-built workflows shipped by Statura — they cover patterns most providers need on day one and stay up-to-date as legislation changes. Custom workflows are built by tenant admins using the same drag-and-drop builder. Both run on the same engine and produce the same audit log entries.

Can workflows trigger external systems like payroll or SMS providers?

Workflow notifications run through Statura's own SMS, push, and in-app channels so resident and staff PII stays inside the platform. For external integrations — payroll exports, finance system writebacks, agency partner handoffs — the workflow engine triggers Statura's configured integrations rather than calling external APIs directly.

How do workflow runs appear in the audit log?

Every workflow run writes a structured event to the tenant audit log against the relevant record. Each event captures the trigger, the decision path, the actions taken, and the user or system actor. The audit log is queryable, exportable, and retained for the period required under the Aged Care Act 2024.

What happens if a workflow makes the wrong decision?

Workflows are deterministic — they follow rules you configure. There is no black-box model. If a workflow makes a decision you didn't intend, the trigger and branch logic are visible in the editor and the audit log shows exactly what happened so you can correct the rule. Workflows that touch regulated decisions always require human acceptance.

Which pricing tier includes workflow automation?

Workflow automation is included on the Professional, Professional + Clinical, and Enterprise residential tiers, and on the Home Care Professional and Home Care Complete home care tiers. See the pricing page for the full tier breakdown.

Move toward one operating platform, one phase at a time.

Statura is designed to land cleanly inside the way providers already operate. Start with the workflow under pressure, keep the systems that still need to stay, and expand into the broader platform on your timeline. Every phase adds more signal to the live compliance view your leaders use to see risk, evidence and performance in real time.
